Dear Booth Vendor

DFW Indian Cultural Society appreciates your participation in the 4th Annual Diwali mela to be held on 4th October 2009 in the new Cowboys Stadium in Arlington, Texas.

Please note the following regarding the booths:

  1. Address: One Legends Way, Arlington, Texas 76011
  2. Time to arrive at the stadium to set up the booth: Between 1:30 PM and 3:00 PM
  3. Entry pass and booth information will be available at the information booth.
  4. Entry and Parking for Vendors is Lot Number ONE
  5. Two entry passes will be provided per booth. Any extra tickets have to be purchased.

General Guidelines for all Food or Non-Food Booth Holders:

  1. Don’t use more than 1500 Watts of electric load. Bring your own 50’ Heavy-duty extension cord and strip with surge protector fuse.
  2. There will be adequate lighting in the booths. If you need more, you will have to make your arrangements.
  3. The subcommittee assigned for this task 1 week prior to the event will allocate booths. All decisions of the subcommittee are final and not subject to revocation. The DFW ICS reserves the right to accept or refuse allocation of booth to anyone.
  4. Vendors Gate (GATE # TBD) will open at 11am on Sunday October 4th, 2009 to setup their booths. No vehicles will be permitted inside the booths area to download any items after 3 pm on Sunday October 4th, 2009.
  5. No alcohol consumption/sales permitted in Cowboys Stadium premises.
  6. All Booths will be closed at 11:00 pm. Please note: Per Stadium rules you will not be allowed to bring in your vehicles to load your belongings until all people have been vacated from the Texas Stadium premises.
  7. No subleasing or sharing of booth with others is allowed.
  8. All booth holders are permitted to bring water or soft drinks in 2 or 3 liter bottles only for booth holder’s consumption only.
  9. You are permitted to distribute your flyers or promotional materials only from your assigned booth. DFW ICS reserves the right to approve/disapprove your publicity material. Distribution of any promotional materials in the Stadium other than from your assigned booth or in parking lots is strictly prohibited.
  10. Only Cowboy’s Stadium have exclusive rights to sell beverages like Pepsi, Coke, Sprite, and Water at this event. Distribution or sale of such beverages and water by booth renters is strictly prohibited.

  12. Distributions of any materials in the Cowboys Stadium or in parking lots by any Unauthorized Vendors or Persons are strictly prohibited and are subject to Fines and removal from the premises.
  13. If the event is cancelled due to natural acts of god or any other reason, no fees will be refunded and you will forfeit your deposits. DFWICS will be held harmless and not liable.
  14. THINK CLEANLINESS WHEN PLANNING YOUR BOOTH ACTIVITY. YOUR COOPERATION IS HIGHLY APPRECIATED.
